You have the ability to register for multiple committee meetings, pay fees in advance, and receive a confirmation email. After registering, you will also receive emails regarding important information that will help you prepare for your meeting. One week before the meeting, you will receive your check-in QR code; this will help expedite your check-in on-site when picking up your badge at the ASTM Registration Area. Hotel Information

All meetings will be held at The Washington Hilton Hotel, 1919 Connecticut Ave NW, Washington, DC 20009.

Hotel Reservations:

Please support ASTM International by reserving your sleeping room at our official October Committee Week Hotel and Meeting site.

The discounted rate will be honored until the ASTM block is full, but no later than September 27th, 2023. The ASTM rate is $209 plus tax. You may be charged a higher rate if reservations are received after the cut-off date, or when the block is full. The hotel requires a credit card to guarantee your reservation, once submitted a confirmation number will be provided electronically.

The Washington Hilton Hotel has a limited number of rooms at the government per diem rate. The government per diem rates are set by fiscal year, effective October 1 each year; you will be charged the prevailing rate at the time of the meeting, not at the time of booking. To find current rates in the CONUS by visiting GSA.GOV. The government per diem rate reservations may be made via our online reservation system, using the blue hyperlink above. You must present your ID at the front desk upon check-in 

CANCELLATION/CHANGE POLICY:  A credit card it is required to guarantee your reservation. Cancellations made within 72 hours of arrival will forfeit one night's room and tax.

IMPORTANT! ASTM Rates are non-commissionable. If you book your reservation through an online travel agent, they must ask for a non-commissioned ASTM Group Rate. ASTM cannot adjust your higher rate if the accommodations were reserved via an online (Expedia, Trivago, Kayak, etc.) travel agency.

The October Committee Week Hotel provides prime meeting space for your committee meetings, events, and activities. ASTM International is legally bound to fill the contracted guest room block and an inability to fill the block will result in severe financial penalties which could affect negotiations and increase costs for future meetings.

INTERNET: The Washington Hilton Hotel offers wireless internet connection for a surcharge of $12.95 daily.

Tips for Meeting Preparation:

  • Pre-register for Committee Meetings or Symposium/Workshop:
    • Saves time on-site for meeting check-in and badge retrieval 
    • Allows you to pay in advance for voluntary committee activity fees and/or any banquet events 
    • When you preregister online, you will receive emails on committee meetings, final announcements, and other information that will help you prepare for your meeting
  • Review the prior meeting minutes for current committee activities 
  • Review Ballot Closing Reports, especially those in which you have a particular interest
  • Review posted meeting agendas
  • Download material in preparation for the meeting

  • If you need copies made for your meeting or AV support, contact your Staff Manager four weeks prior to the meeting

Transportation and Directions

The hotel is located 20 minutes away from the Ronald Reagan National Airport and 40 minutes from Dulles International Airport. It also is a short metro ride from the National Mall and a 10-minute walk to the Dupont Circle Metro Station (Red Line).  

PUBLIC TRANSIT:  Attendees taking a flight into the Ronald Reagan Washington National Airport, have the option to take the Blue Largo Train to Farragut West stop. From there you will get on at the 17th St NW & I St NW stop which will take you 0.1 miles from the hotel at the Chevy Chase stop.

Attendees taking a flight into the Dulles International Airport, can take the Silver line from the Largo stop, get off at Farragut West stop and then get on the bus at 17th St NW & K St NW, that will take you 0.1 miles from the hotel.  

Attendees traveling via a train into DC, may arrive at the Washington Union Station. Union Station is an approximate 21 minute drive to the hotel or a 27 minute transit ride on the red line to Dupont Circle Metro Station, which is .5 miles from the Washington Hilton. TRANSPORTATION SERVICES: From the Ronald Reagan Washington Airport, taxis, town cars, shuttles and ride share options are all available. Passengers can expect to pay about $25-$30 for a one-way trip to the downtown area, as well as the Washington Hilton Hotel. From the Dulles International Airport, a taxi ride will be around $70-$85.

RIDESHARING PROGRAM: Transportation Network Providers (TNP), also referred to as a “rideshare” company, provide prearranged transportation through an app, connecting passengers with drivers of vehicles for hire. Lyft and Uber are TNP companies operating in Washington, DC. Uber and Lyft offer various discounts for new users. 

PARKING:  At the Washington Hilton Hotel, on-site, self-parking is available for $56 daily. Valet service is unavailable at this time.

Training Sessions

ASTM staff will provide several training sessions on various subjects to educate and assist officers, members and non-members of ASTM committees. The following topics will be discussed:

ASTM International Welcome and Orientation Module (Monday) 12:00 p.m. - 1:00 p.m.

Meeting attendees are invited to a welcome and orientation session. This session will provide a brief introduction to ASTM, its process electronic tools, and international activities. This is an interactive session and questions are encouraged as we like attendees to feel comfortable in participating at their standards meetings. Facilitated by ASTM staff, this session provides new and experienced members and visitors a chance to connect at the beginning of the Committee Week.

Balloting and Handling of Negative Votes (Tuesday) 12:00 p.m. - 1:00 p.m.

This session will inform members on how to effectively move documents through the ASTM balloting process, from initiating a subcommittee ballot through the main committee and Society review. A review of the role of COS (Committee on Standards) is included. In addition, learn how to get a positive result from negative votes! Special focus on the procedural handling of negative votes throughout the balloting process.

Introduction to ASTM Training Opportunities Available on Standards (Tuesday) 12:00 p.m. - 1:00 p.m.

This session will inform members of ASTM trainings available to learn about specific ASTM Test Methods and Procedures (eLearning and live, instructor-led training) available both On Demand and In-Person. Courses include: (E50): Phase I & II ESA; Risk Base Corrective Action (RBCA); Asbestos Control; Vapor Encroachment; Building Energy Performance and Improvement Evaluation (BEPIE); Property Condition Assessments; (F37) Light Sport Aircraft; (G04) Fire Hazards in Oxygen Systems; Oxygen Systems & Maintenance; (D05) Coal Chemistry Technician Training; Metals; Plastic Testing; Rubber Testing and Interpretation; Statistics in ASTM Standard Test Method Development, Application, and Quality Assurance; Sustainable Materials & Products: Biodegradability and Biobased Content, Corrosion Testing, and more.

Developing and Revising an ASTM Standard  (Wednesday) 12:00 p.m. - 1:00 p.m.

This editorial training module will follow both new and revised standards to publication. The module will cover the key roles of your editor and the standard's technical contact in the writing, revising, and balloting of your standard until it is approved and published, as well as review ASTM's tools that help with the process. Included in the module will be a brief review of work item registration and the three stages of balloting.


Interlaboratory Study Program Opportunities 

Workshop: Introduction to the Interlaboratory Study Program (ILS) (Monday) 12:00pm - 1:00pm

This module is designed to familiarize members with the ILS Program, its features, benefits, capabilities, and the online registration process. Research Reports will also be specifically addressed during the session. This workshop will benefit anyone planning to run (or participate in) an interlaboratory study to generate a precision statement for a new or existing ASTM test method. Presented by Phillip Godorov, ASTM ILS Staff.

In addition to the ILS Workshop schedule above, several opportunities for ILS Q&A have been planned with ASTM ILS Staff. Please feel free to drop by and ask questions about, or brainstorm ideas for, your upcoming interlaboratory studies. ILS representatives will also be available to review the status of your current interlaboratory studies and help you plan the next steps. No appointments are needed and assistance is available to everyone.

This course gives you an overview of the ASTM Property Condition Assessment (PCA) standard (ASTM E2018) and explains why it was developed. It provides an excellent guide on how to use the standard to conduct a baseline property condition assessment and how to prepare a Property Condition Report (PCR).

Members' Guest Hospitality 

ASTM International attendees' guests (spouses, significant others, travel companions etc.) are welcome to join us for breakfast Monday through Thursday from 8:30am to 9:30am in the Four Oaks at the Washington Hilton Hotel.

Complimentary Support Services

ASTM meetings offer on-site services from the ASTM staff. We provide photocopying service, audio/visual equipment, and a members' work area with complimentary internet computers and printers during registration hours.

ASTM MEMBERS WORK AREA: ASTM will provide computers with internet connections. This area will also be wireless for your laptop computer. You may visit the ASTM website, apply or renew your membership, order publications or check your email. The complimentary wireless service is limited to the members' work area and the meeting rooms.

Committee Voluntary Activity & Event Fees

Voluntary Activity Fees - Several ASTM committees collect a voluntary fee to support activities associated within the committee such as awards, social events, etc. Each committee determines the amount and encourages your contribution. The fee can be paid during registration. This voluntary contribution is not an ASTM International society fee.

Special Events - If your committee is having an event and collecting fees to attend, you may pay this during registration. Contact your staff manager or check in with the registration desk for questions. 

In the event you need a refund please refer to the following policies:

Special Event Fee: A refund for a special event fee, which includes banquet functions and/or committee activity, will be honored only if requested 5 business days prior to the event.

Symposium Fee: A refund of the symposium fee will be honored at least 10 business days prior to the workshop.

Activity Fee: A refund for an activity fee may be requested up to the last day of the event. 

You will see a refund on your credit card statement within 5 to 10 business days.

In order to request a refund, you can click the modify link provided in your confirmation email. Once in your registration you can deselect that fee and select continue and proceed with the modification or you can select “Cancel Registration.”
