After registering, you will also receive emails regarding important information that will help you prepare for your meeting. One week before the meeting, you will receive your check-in QR code; this will help expedite your check-in on-site when picking up your badge at the ASTM Registration Area. ASTM International is committed to the health and safety of our Members and Staff. The Meetings Department will be closely monitoring the guidelines set by the CDC, state and local governments, and the hotel venue to ensure compliance at the time of the Meeting. ASTM International encourages Members to self-screen before joining meetings each day for the safety of all and refrain from attending in person if any symptoms pertaining to COVID-19 arise. ASTM International will follow local guidelines and regulations concerning requirements of COVID-19 vaccinations or negative COVID-19 test results to attend meetings, although we encourage mask wearing and social distancing during meetings if not vaccinated.

All meetings will be held at The Renaissance Orlando at SeaWorld, 6677 Sea Harbor Drive, Orlando, FL, 32821.

Hotel Reservations:

Please support ASTM International by reserving your sleeping room at our official D02 December Committee Week Hotel and Meeting site.

The discounted rate will be honored until the ASTM block is full, but no later than October 31st, 2022. The ASTM rate is $189 plus tax. You may be charged a higher rate if reservations are received after the cut-off date, or when the block is full. The hotel requires a credit card to guarantee your reservation, once submitted a confirmation number will be provided electronically.

ADVANCE DEPOSIT / CANCELLATION POLICY: A guarantee deposit equal to one night’s room and tax will be charged to the card on file upon booking your reservation. This deposit will be refundable should you cancel your reservation by the end of the business day on Thursday, October 20, 2022. Deposits will be non-refundable for any cancellations made after Thursday, October 20, 2022. Any reservations made after this date will also be non-refundable.

IMPORTANT!

ASTM Rates are non-commissionable. If you book your reservation through a travel agent, they must ask for a non-commissioned ASTM Group Rate. ASTM cannot adjust your higher rate if commissions were paid to a travel agency.

The D02 December Committee Week Hotel provides prime meeting space for your committee meetings, events and activities. ASTM International is legally bound to fill the contracted guest room block and an inability to fill the block will result in severe financial penalties which could affect negotiations and increase costs for future meetings.

Pre-Meeting Checklist

Tips for Meeting Preparation:

  • Pre-register for Committee Meetings:
    • Saves time on-site for meeting check-in and badge retrieval 
    • Allows you to pay in advance for voluntary committee activity fees and/or any banquet events 
    • When you preregister online, you will receive emails regarding committee meetings, final announcements, and other information that will help you prepare for your meeting
    • If unable to pre-register prior to the meeting, registration and payment of fees/events are available on-site
  • Review the prior meeting minutes for current committee activities 
  • Review Ballot Closing Reports, especially those in which you have a particular interest
  • Review posted meeting agendas
  • Download material in preparation for the meeting
    • My Schedule (customize your schedule in an Excel file, highlighting meetings you would like to attend; can be used for multiple committees)
    • My Meetings Material (compile a ZIP File of your agendas, minutes, ballot items, closing reports and schedules
  • Review Online Training Modules offered prior to the meeting, these can be found on the ASTM Website at this link: www.astm.org/MEMBER_TRAINING
    • Plan to attend Committee Week Training Modules conducted by ASTM Staff
    • Check with your committee's leadership for committee specific training offered during the meeting
  • If you need copies made for your meeting or AV support, contact your Staff Manager four weeks prior to the meeting

Transportation and Directions

The hotel is located approximately 13 miles/15 minutes from the Orlando International Airport.  Although the hotel does not offer shuttle services, there are multiple option below for transportation.

PUBLIC TRANSIT: Better known as LYNX, this local transportation hub provides bus transportation for daily commuters, visitors, and leisure travelers. To view more information including schedules and tickets, please click here.

TRANSPORTATION SERVICES: From Orlando International Airport, taxis, town cars, shuttles and ride share options are all available. Passengers can expect to pay about $25-$50 for a one-way trip to the downtown area, as well as the Renaissance Orlando at SeaWorld. RIDESHARING PROGRAM: Transportation Network Providers (TNP), also referred to as a “rideshare” company, provides prearranged transportation through an app, connecting passengers with drivers of vehicles for hire. Lyft and Uber are TNP companies operating in Orlando, FL. Uber offers various discounts using a code for first time riders.

PARKING: On-site parking is available at the Renaissance Orlando at SeaWorld for 50% off the daily rate.

Training Sessions

ASTM staff will provide several training sessions on various subjects to educate and assist officers, members and non-members of ASTM committees. The following topics will be discussed:


Gasoline: Specifications, Testing, & Technology 

November 30 & December 1, 2022 

This extensive class provides broad coverage of the specifications, testing, technology, and regulations related to gasoline. You'll learn about the different types and components of gasoline, octane, volatility, drivability, as well as product quality control throughout the motor gasoline product value chain. The course covers specifications related to gasoline, gasoline additives, oxygenates, the refining process, the quality and distribution of fuels, and much more.

The class is taught in a participatory atmosphere where questions and queries to the instructors and classmates are encouraged throughout the course. In addition to receiving the course presentation and notes. The attendee will receive copies of over 30 ASTM standards, test methods, product specifications, and practices related to gasoline and oxygenates. Please click here to register.


Understanding Test Method Precision, Bias, Inter-Laboratory Study (ILS) Design, Statistical Quality Control Charts & Work Process

December 3, 2022 - 8:30am-4:30pm (EST)

This training will be held from 10:00AM – 3:00PM Eastern Time. This seminar will present an overview on test method precision, bias, ILS design, and statistical control charts. ASTM repeatability, reproducibility, intermediate precision, and bias will be discussed, along with ASTM D6300 ILS design requirements to establish r, R, and critical success factors. Test method "in-statistical-control" concept will be discussed along with control chart work process and tools per ASTM D6299. The seminar will wrap up with a brief discussion on EPA Tier III SQC requirements, followed by a general Q&A. Please click here to register. 


Workshop: Committee D02 Member Orientation 

December 5, 2022 - 7:00am-8:00am (EST)

This orientation will include an overview of ASTM and the organization and structure of D02. Learn about your role and responsibilities as a new D02 member. There will be an opportunity to ask questions. All members, especially new members and visitors, are encouraged to attend. The orientation will be presented by Greg Miiller, Committee D02 First Vice-Chairman.


Training Module: Task Group Chair & Technical Contact Responsibilities 

December 5, 2022 – 12:00pm-1:00pm (EST)

Recently taken on the role of a task group leader or technical contact in your committee? This training module will provide an overview of the duties and responsibilities of task group leaders and technical contacts, as well as help you navigate the ASTM systems and various tools available to assist with your standards development work. Some applications that will be introduced are registration of a work item, organizing a collaboration area, submitting items for ballot, scheduling a meeting, and handling negatives and comments.


ASTM Women's Networking Meeting 

December 5, 2022 – 5:00pm-6:00pm (EST)

Members of Committee D02 are hosting an exploratory session to consider how to support networking and career development for women participating in ASTM.  This event is open to all members (D02 Committee and others!) who wish to attend and participate in this discussion.  After the one hour discussion, the meeting will adjourn for more informal networking during the Monday night hospitality suite!


ASTM Proficiency Testing Program & ASTM Training & eLearning Presentation

December 6, 2022 – 12:00pm-1:00pm (EST)

Learn how Training and Proficiency Testing Programs can help you improve proficiency with ASTM Standards and Test Methods! ASTM Training and eLearning offers award-winning continuing education courses and industry-leading online training programs. ASTM Proficiency Testing Programs (PTP) are statistical quality assurance programs that enable laboratories to evaluate and improve performance, and maintain and fulfill mandatory accreditation requirements. In addition, the ASTM Lab Services program will be on hand to discuss new offerings; including

Petroleum Reference Materials: Available in a variety of matrices for a wide range of values with reliable accepted reference values and very low estimated uncertainty. Reference materials are validated for accuracy and come with clear and concise Certificates of Analysis.

ASTM Insight SQC: Staff will demonstrate our cloud based SQC solution, ASTM Insight SQC. The software solution is designed around ASTM D6299 and enables laboratories to meet regulatory requirements set forth in 40 CFR 1090.

This session is essential for those who are new to industry or experienced individuals or companies looking to improve skill level and lab results.


Workshop: Introduction to the Interlaboratory Study Program (ILS)  

December 6, 2022 – 12:00pm-1:00pm (EST)

This module is designed to familiarize members with the ILS Program, its features, benefits, capabilities, and the online registration process. Research Reports will also be specifically addressed during the session. This workshop will benefit anyone planning to run (or participate in) an interlaboratory study to generate a precision statement for a new or existing ASTM test method. Presented by ASTM ILS Staff.

Meeting attendees are cordially invited to a special welcome and orientation session centered on welcoming all member participants, experienced and brand new! Attendees will have the opportunity to meet other ASTM International meetings participants. This session will provide a very brief introduction to ASTM, its activities, process, electronic tools and international outreach that connect you to ASTM's global network of experts and information. There will also be ample time to ask any questions. This session provides new and experienced members and visitors a chance to connect at the Committee Week. This seminar will be presented by ASTM Staff.

In addition to the ILS Workshop schedule above, several ILS Q&A Sessions have been planned with ASTM ILS Staff. Please feel free to drop by and ask questions about, or brainstorm ideas for, your upcoming interlaboratory studies. ILS representatives will also be available to review the status of your current interlaboratory studies and help you plan the next steps. Sessions are open to all, and no appointments are needed.

Complimentary Support Services

ASTM meetings offer on-site services from the ASTM staff. We provide photocopying service, audio/visual equipment, and a members' work area with complimentary internet computers.

ASTM MEMBERS WORK AREA: ASTM will provide computers with internet connections. This area will also be wireless for your laptop computer. You may visit the ASTM website, apply or renew your membership, order publications or check your email. The complimentary wireless service is limited to the members' work area and the meeting rooms.

Committee Voluntary Activity & Event Fees

Voluntary Activity Fees - Several ASTM committees collect a voluntary fee to support activities associated within the committee such as awards, social events, etc. Each committee determines the amount and encourages your contribution. The fee can be paid during registration or on-site using a credit card. This voluntary contribution is not an ASTM International society fee.

Special Events - If your committee is having an event and collecting fees to attend, you may pay this during registration or on-site using a credit card. Contact your staff manager or check in with the registration desk for questions. 

In the event you need a refund please refer to the following policies:

Special Event Fee: A refund for a special event fee, which includes banquet functions and/or committee activity, will be honored only if requested 5 business days prior to the event.

Activity Fee: A refund for an activity fee may be requested up to the last day of the event. 

You will see a refund on your credit card statement within 5 to 10 business days.

In order to request a refund, you can click the modify link provided in your confirmation email. Once in your registration you can deselect that fee and select continue and proceed with the modification or you can select “Cancel Registration.”

ASTM Guest Hospitality Breakfast

ASTM International attendees' guests (spouses, significant others, travel companion etc.) are welcome to join us for breakfast Monday through Thursday from 8:30am to 9:30am at the Renaissance Orlando at SeaWorld.

Dress/Weather

Attendees have the option to determine their dress at ASTM meetings. Business casual attire is acceptable at this meeting and appropriate for Orlando. The average temperatures in December range from a high of 75 degrees Fahrenheit to a low of 55 degrees Fahrenheit.

Miscellaneous

Please advise the hotel and ASTM of any disability which will require special attention. The hotel is in compliance with ADA standards.
